Terms & Conditions

Welcome to AgroMatch, a web-based agricultural market information and transaction management system developed as a capstone project. These Terms and Conditions explain the rules for accessing and using the AgroMatch system.

Please read these Terms and Conditions carefully. By creating an account, accessing, or using AgroMatch, you agree to comply with these Terms and Conditions. If you do not agree, you may not submit an account registration or use the authenticated features of AgroMatch.

1. Description of AgroMatch

AgroMatch is a web-based system developed to support agricultural market operations and provide authorized users with access to agricultural information and transaction-related functions.

Depending on the user's assigned role, AgroMatch may provide functions for:

  • User account management
  • Crop and crop-category management
  • Crop price monitoring
  • Crop supply monitoring
  • Farm plot and delivery planning
  • Delivery Notices
  • Delivery Stubs
  • Withdrawal Tickets and Withdrawal Receipts
  • Farmer earnings and payment records
  • Disbursement Records
  • Market reports
  • Market Alerts and Oversupply Advisories
  • Announcements
  • Transaction monitoring and records

Access to these functions depends on the user's assigned role and authorization.

2. Acceptance of Terms

By accessing or using AgroMatch, you confirm that you have read, understood, and agreed to these Terms and Conditions.

If you do not agree with these Terms and Conditions, you must not proceed with the registration or use the authenticated features of AgroMatch.

Acceptance of these Terms and Conditions is required before an account registration can be submitted.

3. Account Registration

To request an AgroMatch account, an applicant must complete the account registration form and provide the required information.

Applicants are responsible for ensuring that all information provided during registration is true, accurate, complete, and up to date.

Providing false, misleading, incomplete, or unauthorized information may result in the rejection of the account application or suspension of an existing account.

Completing the registration form does not automatically create an AgroMatch account. All account requests are subject to the required verification and approval process.

4. Email and OTP Verification

An applicant must provide an active and accessible email address during registration.

Before an account registration can be submitted, the applicant must verify the provided email address through the AgroMatch verification process.

A confirmation link and One-Time Password (OTP) will be sent to the provided email address. The applicant must successfully complete the required email confirmation and OTP verification before proceeding with account submission.

If the applicant cannot successfully complete the email and OTP verification, the account registration cannot be submitted.

5. Admin Verification and Account Approval

After the applicant successfully completes the required registration and verification process and submits the account request, an authorized Admin will review and verify the information provided.

The Admin may approve or reject the account application based on the applicable requirements for access to AgroMatch.

Submitting an account request does not guarantee approval. Only approved applications may become active AgroMatch accounts.

An application may be rejected if the information provided cannot be verified, is incomplete, inaccurate, unauthorized, or does not meet the requirements for system access.

6. User Accounts

Approved users are responsible for maintaining the confidentiality of their account credentials.

Users must:

  • Keep their username, password, and other authentication information confidential
  • Not share their account with another person
  • Not allow another person to use their account
  • Log out after using AgroMatch, particularly on shared devices
  • Immediately report suspected unauthorized access to the appropriate AgroMatch administrator

Users are responsible for activities performed through their own account.

7. Role-Based Access

AgroMatch uses role-based access to control access to system functions and information.

Users may only access the features, records, and information authorized for their assigned role. The system may include the following user roles:

  • Admin
  • Marketer
  • Accounting Personnel
  • Cashier
  • Farmer

Users must not attempt to access functions, records, or information assigned to another role without proper authorization.

8. User Responsibilities

Users agree to:

  • Provide accurate and truthful information
  • Use AgroMatch only for its intended purposes
  • Keep account credentials secure
  • Protect confidential information obtained through the system
  • Follow applicable policies and procedures related to the use of AgroMatch
  • Report errors, security concerns, or unauthorized activity
  • Avoid unauthorized modification of system records
  • Use the system in accordance with applicable Philippine laws and regulations

9. Prohibited Activities

Users are prohibited from using AgroMatch to:

  • Access another person's account without authorization
  • Obtain information that they are not authorized to access
  • Falsify registration, agricultural, delivery, payment, or transaction information
  • Modify or delete records without authorization
  • Misuse transaction documents
  • Share confidential or personal information without authorization
  • Circumvent role-based access controls
  • Attempt to gain unauthorized access to the system, database, server, or other system resources
  • Introduce malicious software or harmful code
  • Disrupt or interfere with the operation of AgroMatch
  • Conduct any activity that violates applicable laws or regulations

10. Agricultural and Market Information

AgroMatch may provide agricultural market information such as crop prices, supply information, historical market information, market alerts, and announcements.

This information is provided to support agricultural planning, monitoring, and decision-making.

Users acknowledge that agricultural prices, supply conditions, and other market information may change over time. AgroMatch does not guarantee that market information will remain unchanged or that users will achieve a particular result based on information provided by the system.

11. Transaction Records

AgroMatch may maintain records related to agricultural deliveries, withdrawals, payments, earnings, and other authorized transactions.

Users must provide accurate information when creating or processing transactions.

Users must not intentionally falsify, manipulate, duplicate, or misuse transaction records or documents generated through AgroMatch.

Transaction records may be subject to review and verification by authorized personnel.

12. Payment and Earnings Records

AgroMatch may record information relating to farmer earnings, deductions, payments, withdrawals, and disbursements as part of its agricultural transaction functions.

Access to financial and payment information is restricted according to the user's assigned role.

Users must not access, modify, disclose, or use financial information without proper authorization.

13. System Security

AgroMatch uses security measures intended to protect the system and its information from unauthorized access and misuse.

Users must not attempt to bypass, disable, or interfere with these security measures.

Any suspected security breach, unauthorized account access, or misuse of the system should be reported immediately to the appropriate AgroMatch administrator.

14. System Availability

AgroMatch is intended to provide access to its available services and information. However, the system may occasionally become unavailable because of maintenance, technical problems, internet connectivity issues, server problems, security incidents, power interruptions, or other circumstances beyond the reasonable control of the development team or system administrators.

AgroMatch does not always guarantee uninterrupted or error-free access.

15. Accuracy of User-Provided Information

Users are responsible for the accuracy and completeness of the information they enter into AgroMatch.

If a user discovers incorrect information in their account or transaction records, they should report the issue to the appropriate authorized personnel for verification and correction.

16. Intellectual Property

The AgroMatch website, system interface, software, database structure, documentation, graphics, and other original materials developed as part of the capstone project are subject to applicable intellectual property laws and applicable agreements governing the project.

Users may access and use AgroMatch only for authorized purposes.

Users may not copy, modify, reproduce, distribute, reverse engineer, or commercially exploit the system or its protected materials without proper authorization.

17. Account Suspension or Termination

An AgroMatch account may be suspended, deactivated, or terminated when:

  • The user violates these Terms and Conditions
  • False or fraudulent information is provided
  • Unauthorized activity is detected
  • The user's access is no longer authorized
  • The account presents a security or privacy risk
  • Suspension or termination is required by applicable law or applicable system policies

Where appropriate, an authorized Admin may review the user's account and take the necessary action.

18. Changes to These Terms

These Terms and Conditions may be updated when necessary due to changes to the AgroMatch system, project requirements, security practices, applicable policies, or laws and regulations.

Updated Terms and Conditions will be made available through AgroMatch.

Users are encouraged to review the Terms and Conditions whenever they access or continue using the system.

19. Governing Law

These Terms and Conditions shall be governed by the applicable laws of the Republic of the Philippines.

Any matter relating to the use of AgroMatch shall be handled in accordance with applicable Philippine laws, rules, and regulations.

21. Agreement

Before submitting an account registration, the applicant must confirm that they have read and understood these Terms and Conditions.

Agreement to these Terms and Conditions is required before an account registration can be submitted.

If you do not agree to these Terms and Conditions, your account registration will not be submitted.

Privacy Policy

AgroMatch respects your privacy and is committed to protecting your personal information in accordance with Republic Act No. 10173, otherwise known as the Data Privacy Act of 2012, and its applicable rules and regulations.

This Privacy Policy explains what information AgroMatch collects, how it is used, how it is protected, and what rights you have regarding your personal information.

When you register for or use AgroMatch, we may collect information necessary to provide and manage your account and system access. This may include:

  • First name and last name
  • Email address

  • User role
  • Municipality or city
  • Province

  • Farm and crop-related information

  • Recording crop deliveries and transactions

AgroMatch collects and processes only information that is reasonably necessary for its intended functions.

3. Account Registration and Verification

During account registration, you are required to provide accurate and complete information.

An active email address is required to verify your identity and confirm access to the email account.

Before submitting an account request, you must complete the required email verification process, which may include receiving a confirmation link and One-Time Password (OTP).

After successful verification and submission, an authorized Admin will review the information provided and determine whether the account will be approved.

Email verification does not automatically guarantee account approval.

4. Legal Basis for Processing

AgroMatch processes personal information only when there is a lawful basis under applicable data-protection laws. Depending on the circumstances, processing may be based on:

  • Your consent
  • The necessity of processing for the performance of an agreement or service
  • Compliance with a legal obligation
  • Protection of important interests
  • Other lawful bases recognized under applicable Philippine data-protection laws

Where consent is the appropriate legal basis, you may withdraw your consent subject to applicable laws and any lawful reason for continued processing.

5. Confidentiality of Information

AgroMatch treats personal information as confidential.

Access to personal and transaction information is restricted to authorized users according to their assigned roles and responsibilities.

Users are not permitted to access, disclose, copy, or use personal information belonging to another person without proper authorization.

6. Data Sharing and Disclosure

AgroMatch will not intentionally disclose your personal information to unauthorized individuals or organizations. Information may be disclosed when:

  • You have provided appropriate consent
  • Disclosure is necessary for a legitimate and authorized purpose
  • Disclosure is required by law or lawful authority
  • Disclosure is necessary to fulfill a lawful obligation
  • Disclosure is otherwise permitted under applicable laws and regulations

Only information necessary for the applicable purpose should be disclosed.

While reasonable security measures are implemented, no online system can guarantee complete security against every possible threat.

Users are also responsible for protecting their account credentials and immediately reporting suspected unauthorized access.

Personal information will be retained only for as long as necessary to fulfill the purposes for which it was collected, maintain legitimate records, support authorized system functions, or comply with applicable legal and organizational requirements.

When personal information is no longer required and there is no lawful reason for continued retention, it may be securely deleted, disposed of, or anonymized in accordance with applicable requirements.

9. Your Rights

Under the Data Privacy Act of 2012, you may have the right to:

  • Be informed about how your personal information is collected and processed
  • Access your personal information, subject to applicable limitations
  • Request correction of inaccurate or incomplete information
